CONTACTS MANAGEMENT & ORGANIZATION

WHAT IS A CONTACT

A contact is any person in your system — lead, prospect, or client.

Each contact stores:

  • Name, phone, email

  • Communication history (calls, SMS, emails)

  • Notes, tags, and activity

👉 This is your central record for every person you interact with


WHY CONTACTS MATTER

Contacts are the foundation of your entire system.

They allow you to:

  • 👀 Track all leads and clients in one place

  • 💬 See full conversation history

  • ⚙️ Automate follow-ups and campaigns

  • 🎯 Segment and target the right audience

👉 Without clean contact management, everything else (pipelines, automation, reporting) breaks.


PART 1: CREATE CONTACTS

OPTION 1: Manual Creation

  1. Go to Contacts

  2. Click + Add Contact

  3. Enter:

    • Name

    • Phone

    • Email

  4. Click Save


OPTION 2: Automatic Creation

Contacts are automatically created when:

  • Someone fills out a form

  • Someone messages or calls

  • A lead is captured from ads

👉 This ensures no lead is missed


PART 2: IMPORT CONTACTS (BULK UPLOAD)

Steps:

  1. Go to Contacts

  2. Click Import

  3. Upload your file (CSV)

  4. Map fields (name, email, phone, etc.)

  5. Start import


PART 3: MANAGE CONTACTS

When you open a contact, you’ll see:

  • 📞 Conversations (calls, SMS, email)

  • 📝 Notes & activities

  • 🏷️ Tags

  • ⚙️ Actions (assign, update, add to workflow)


PART 4: TAGGING & ORGANIZATION

What are Tags?

Tags are labels used to organize contacts.

Examples:

  • New Lead

  • Hot Lead

  • Seller

  • Buyer


How to Add Tags:

  • Manually inside contact

  • Automatically via workflows
