How to Set Up a One‑Time Booking Link in Pulse REI CRM

Creating a one‑time booking link lets you send a unique, single‑use scheduling link to a lead or client automatically via your workflows. Unlike a normal public booking link that anyone can reuse, this link expires once the appointment is booked, giving you more control and preventing misuse or multiple bookings with one link.

Here’s a simple, easy‑to‑follow guide to setting up booking links inside your automation:

🛠️ Step‑by‑Step: Setting Up a Booking Link

1. Create or Edit a Workflow

Start in Automation → Workflows and either:

  • Create a new workflow

  • Or open an existing one where you want to add the booking link action

👉 Workflows run automatically based on triggers like form submissions or specific tag additions.

2. Add the “Generate One‑Time Booking Link” Action

Inside the workflow:

  1. Click Add Action

  2. Choose the Appointments category

  3. Select Generate One‑Time Booking Link

👉 This action tells Pulse REI CRM to create a clickable scheduling link that expires after one booking.

3. Select the Calendar

When configuring the action:

  • Choose which calendar you want this link to apply to

  • This determines where the appointment will be scheduled once booked

👉 Make sure the calendar has availability set up correctly.

4. Add a Communication Step

To deliver the booking link, add:

  • Send Email, or

  • Send SMS
in the same workflow after the booking link action.

👉 This allows you to send the one‑time link directly to your contact.

5. Insert the Booking Link with Custom Value

Inside your email or SMS message:

  • Use the custom value selector

  • Choose One Time Link from the “Generate One‑Time Booking Link” action

👉 This pulls the unique link into the message so the lead can click it.

6. Customize the Message

Write your message around the link. For example:

“Click the link below to schedule your consultation — this booking link expires after one use.”

👉 Clear instructions help improve conversions.

7. Save and Publish

Make sure to:

  • Save the workflow

  • Publish it so it goes live

Now every time the trigger condition is met (e.g., a form is submitted), the system will generate a unique booking link and send it automatically.

📌 Why This Matters

✔️ Prevents Link Abuse

One‑time links expire after booking, which prevents multiple bookings using the same link.

✔️ More Control

You can send a booking link only when a lead qualifies (e.g., after a form submission), rather than giving everyone access to your full calendar.

✔️ Seamless User Experience

Leads get a professional, personalized link without lifting a finger manually.

🚀 Example Use Case

Let’s say someone fills out your “Book a Consultation” form. With the workflow set up:

  1. The form submission triggers the workflow

  2. A one‑time link is generated for your selected calendar

  3. An email is sent to the lead with that unique link

  4. The lead clicks and books the appointment

  5. That link can’t be used again afterward

This makes your booking process smooth, secure, and automated.

By following these steps, you turn a regular scheduling process into a smart, dynamic, and controlled experience—boosting conversions while reducing manual scheduling work. ❏
