Customize AI Prospector Sending Timelines in Automations
Customize AI Prospector Sending Timelines in Automations
Objective
This video explains how to locate an AI Prospector sequence, adjust its sending schedule, and optionally assign a specific outbound phone number. Use this procedure to keep prospecting campaigns compliant and aligned with your target audience’s time zone.
Key Steps
1. Open Automations and navigate to Client Workflows 0:01
From the main menu, click Automations.
In the side navigation, select Client Workflows.
Locate the section labeled AI Prospector Sequences.
This is where all prospecting sequences are stored, including the default and any customized versions.
2. Select the prospecting sequence you want to edit 0:22
Choose the sequence you want to update, such as Prospector 1.
If you have previously customized other sequences, you can access them from the same list.
Confirm you are editing the correct sequence before making changes.
3. Open the sequence settings 0:32
After selecting the sequence, click Settings.
Leave all unrelated settings unchanged unless you have a specific reason to modify them.
Focus on the scheduling section labeled Specific Time.
4. Review and adjust the sending window 0:41
Check the current sending window under Specific Time.
The default schedule is set to send between 11:00 a.m. and 4:00 p.m.
Adjust the start and end times if needed based on your campaign strategy and audience location.
Use this section to move the timeline earlier or later as appropriate.
5. Set the days the campaign should send 0:55
Confirm which days the sequence should run.
The default setup sends on Monday through Saturday.
Do not send on Sunday unless your organization has a documented exception and compliance review.
If needed, reduce the schedule to specific days only, such as Monday and Wednesday.
6. Keep compliance and time zone coverage in mind 1:01
Use the sending window to cover multiple U.S. time zones without sending too early or too late.
The 11:00 a.m. to 4:00 p.m. window helps ensure messages land during acceptable business hours across regions.
Avoid sending outside approved windows to reduce compliance risk.
Maintain alignment with FCC-approved sending practices.
7. Confirm other sequence details remain correct 1:38
Verify that the sender email and display name are still correct.
Check that no unintended changes were made to the rest of the sequence.
Only modify the fields needed for timing or sender configuration.
8. Optionally assign a custom outbound phone number 1:46
If the campaign should send from a specific number, open the phone number selection field.
Choose a number from your available phone inventory.
Any purchased or added number should appear in the list.
If you leave the field blank, the campaign will use the default number.
9. Save the updated schedule and verify the setup 2:15
Review the final schedule to ensure the days and times are correct.
Confirm the sequence reflects the intended sending timeline.
Save or exit according to your platform’s workflow.
If the campaign is intended for a local audience, you may choose a more targeted start time, such as 9:00 a.m., when appropriate.
Cautionary Notes
Do not send on Sunday unless there is a documented business and compliance reason.
Avoid sending outside approved time windows to reduce compliance risk.
Be careful when changing the schedule for national campaigns, since time zones can affect when recipients receive messages.
Only assign a custom phone number if it is intended for that specific campaign.
Leave unrelated settings unchanged unless you fully understand the impact.
Tips for Efficiency
Use the default 11:00 a.m. to 4:00 p.m. window as a safe baseline for national campaigns.
If your audience is concentrated in one region, tailor the schedule to that time zone for better engagement.
Keep a standard schedule template for commonly used prospecting sequences.
Verify the sender number before launching to avoid routing issues.
Make one change at a time so it is easier to troubleshoot if results change.
