How to Clean Up and Import an Agent Outreach List into REI Pulse

LIST FORMATTING AI PROMPT (COPY AND PASTE THIS INTO YOUR CHAT GPT OR AI ACCOUNT, THEN ADD YOUR FILE TO GET YOUR LIST READY FOR THE IMPORT INTO REI PULSE)

Start of Prompt

You are a data cleaning specialist for REI Pulse CRM Agent Outreach imports. Your job is to take a raw list of real estate agents (CSV or Excel) and convert it into a clean, GoHighLevel-ready CSV file.

## OUTPUT FORMAT

Your output is a single CSV file with EXACTLY these columns in this order:

First Name, Last Name, Email, Phone, Tags, Source, Pipeline Name, Pipeline Stage, Opportunity Name, Notes

## FIELD RULES (apply to EVERY record)

First Name: Agent's first name. Title Case (e.g., "Brandon" not "BRANDON"). If the source has ALLCAPS, convert it.

Last Name: Agent's last name. Title Case.

Email: Lowercase the entire email address. If multiple emails exist, use the first one. Put any additional emails into Notes.

Phone: Format ALWAYS as +1XXXXXXXXXX (E.164 format, exactly 12 characters: plus sign, 1, then 10 digits).

- Strip ALL non-digits, then add +1 prefix to 10-digit numbers

- If the number is 11 digits starting with 1, just add the + sign

- If you cannot make a valid 10-digit US phone, leave blank

- Write phone numbers as strings, never as numbers (so leading + is preserved)

- If multiple phones exist, prioritize Mobile/Wireless over Landline. Put extras into Notes.

Tags: Always exactly agent (lowercase, no other tags).

Source: Always exactly Agent Outreach.

Pipeline Name: Always exactly 5🔴 AGENT OUTREACH (include the emoji and spacing exactly).

Pipeline Stage: Always exactly 🟡 New Agent Lead (include the emoji and spacing exactly).

Opportunity Name: Format as Full Name | Agent

Example: Brandon Brooks | Agent

The literal word "Agent" appears after the pipe — do NOT replace it with anything else.

Notes: Build a multi-line notes field with this exact structure:

--- IMPORTED DATA (Agent Outreach) ---

=== ADDITIONAL PHONES ===

Phone 2 (Type): +1XXXXXXXXXX

Phone 3 (Type): +1XXXXXXXXXX

=== ADDITIONAL EMAILS ===

Email 2: [email protected]

Email 3: [email protected]

=== ADDITIONAL FIELDS ===

[Every other column from the source file goes here as "Column Name: Value", one per line]

Skip empty sections. If there are no extra phones, omit the "ADDITIONAL PHONES" block entirely. Same for the others. Any column from the source that isn't already mapped to First Name, Last Name, Email, or Phone goes into ADDITIONAL FIELDS (e.g., Brokerage, State, License Number, Areas Served, Years Experience, Specialties).

## RECORDS TO DROP

Do NOT include records that:

1. Have a business/entity name in the First Name field (LLC, Inc, Corp, Trust, LP, Holdings, Properties, Investments, Ltd, Enterprises, Ventures, Realty, Homes, Capital, Fund, Foundation, Partnership, Development, Company, Associates, Group, Bank)

2. Have NO phone AND NO email (no way to contact)

## DEDUPLICATION

Remove duplicate records. Match duplicates by phone number first. If two records share the same phone, keep the one with the most populated fields. For records without a phone, dedupe on email instead.

## OUTPUT

Return the cleaned data as a CSV file (or table I can copy). Do not explain your work — just give me the clean CSV ready to import into GoHighLevel.

The step by step process in writing...

1. Open the Agent Outreach Pipeline in REI Pulse 0:24

generated-image-at-00:00:24
  • Start in the REI Pulse dashboard.

  • Go to Opportunities.

  • Find the Agent Outreach pipeline at the bottom.

  • This is the pipeline used for importing a raw list of real estate agents you want to prospect.

2. Copy the AI Prompt and Prepare Your Raw Agent List 1:12

generated-image-at-00:01:12
  • Below the Loom video, copy the provided prompt.

  • Paste the prompt into your AI tool of choice (for example, ChatGPT or Claude).

  • Drag and drop your raw spreadsheet/list of agents into the same prompt.

  • The prompt is designed specifically for REI Pulse and should work across AI tools.

3. Use AI to Clean and Format the List 1:59

generated-image-at-00:01:59
  • Let the AI process the file and clean up the data.

  • It will organize fields like:

    • first name

    • last name

    • email

    • phone

    • tags

    • source

    • pipeline name

    • stage

    • opportunity name

    • notes

  • Any extra columns, such as brokerage or state, should be preserved in the notes.

  • The goal is to create a clean import file that maps correctly into REI Pulse.

4. Start the Import in REI Pulse 2:17

generated-image-at-00:02:17
  • Go back to REI Pulse and begin the import process.

  • Choose Contacts and Opportunities.

  • Click Next.

  • Select:

    • Create New Opportunities

    • Create and Update Contacts

  • Do not choose update-only for opportunities; this should create new records.

5. Review the AI-Cleaned File Before Uploading 3:02

generated-image-at-00:03:02
  • Check the cleaned file generated by the AI.

  • Confirm the fields are mapped correctly.

  • Make sure the list includes:

    • clean contact data

    • the tag Agent

    • source set to Agent Outreach

    • the correct pipeline name

    • the correct stage

    • opportunity name

    • any extra notes

  • Download the cleaned file once it looks correct.

6. Upload the Clean File and Confirm Field Mapping 3:50

generated-image-at-00:03:50
  • Drag and drop the cleaned file into the import tool.

  • Again, choose:

    • Create New Opportunities

    • Create and Update Contacts

  • Move to the next step.

  • Verify the mapping is automatic and correct.

  • Double-check that the green check marks appear for key fields like:

    • first name

    • last name

    • email

    • phone

    • tags

    • opportunity name

    • pipeline

7. Finish the Import and Let the System Queue the Leads 4:42

generated-image-at-00:04:42
  • Once the mapping looks good, proceed with the import.

  • You do not need to manually add extra tags.

  • The system will automatically place the leads into the Agent Outreach workflow.

  • The leads will appear in the pipeline and begin processing.

8. Confirm the Leads Were Added to Opportunities 5:05

generated-image-at-00:05:05
  • Go to Opportunities and refresh if needed.

  • The imported agents should appear in the pipeline.

  • Open a record to confirm it looks like a normal opportunity.

  • Check the notes section to make sure extra spreadsheet data was preserved.

9. Understand What Happens After Import 6:06

generated-image-at-00:06:06
  • When a lead lands in New Agent Lead, the system automatically:

    • tags the lead

    • starts the outreach drip

    • moves the lead through the sequence

  • The sequence is designed to run automatically without manual follow-up setup.

10. Use Drip Mode Instead of Blasting the List 6:22

generated-image-at-00:06:22
  • The system sends messages in drip mode rather than blasting everyone at once.

  • Example pacing: 2 messages every 1 minute.

  • This helps protect:

    • deliverability

    • sender reputation

    • carrier compliance

    • your ability to manage replies

  • Avoid blasting large lists because it can create usage spikes and overwhelm your team.

11. Know How the Outreach Sequence Works 7:57

generated-image-at-00:07:57
  • The system automatically moves the lead through the outreach stages.

  • It may:

    • send the first text

    • move the lead to prospect/sequence stage

    • wait a few days

    • send an email

    • wait several more days

    • send another text

    • continue touchpoints for about six months

  • The campaign stays light and consistent so the agent remains top of mind.

12. Handle Non-Responses and Replies 8:30

generated-image-at-00:08:30
  • If the agent does not respond:

    • the system adds a no response / agent outreach tag

    • marks the opportunity as lost

    • moves it to not interested

  • If the agent replies:

    • the lead moves to the responded stage

    • you receive a notification

    • you can begin the real conversation manually

13. Final Outcome 8:57

generated-image-at-00:08:57
  • The entire process lets you take a raw agent list and turn it into a fully automated outreach campaign.

  • You only need to:

    1. clean the list with the prompt

    2. import it into the Agent Outreach pipeline

    3. let REI Pulse handle the follow-up sequence

  • This is the full agent outreach workflow in REI Pulse.
