How to Stop or Restart Your AI Prospector and Automatic Outbound Sequences

Objective

This video explains how to fully pause both inbound AI responses and outbound automated messaging inside AI pools. It also covers how to restore communications later without losing workflow progress.

Key Steps

1. Turn Off the AI Lead Manager 0:36

  • Go to Settings.

  • Open Custom Value Views.

  • Find AI Lead Manager.

  • Select Edit and change the value to Off.

  • Confirm the AI lead manager is disabled.

Result:

  • The AI agent will stop triggering.

  • It will not respond to new messages or calls.

  • Follow-up sequences and engagement series will not run.

2. Pause Outbound AI Workflows and Sequences 1:21

  • Go to Automations.

  • Open Client Workflows.

  • Locate the AI Prospector sequences and any related outbound workflows.

  • Identify all active sequences such as:

    • Engagement

    • Short-term

    • Long-term

    • Retail listings

    • Seller prospector

  • Draft each workflow to pause it.

Result:

  • Outbound messages stop immediately.

  • Leads remain in the workflow records.

  • No data is deleted or removed.

3. Verify All Workflows Are Drafted 2:24

  • Confirm every relevant workflow is set to Draft.

  • Check that no outbound sequence remains published.

  • Verify that the workflows are paused but still saved in the system.

Result:

  • All automated communication is stopped.

  • The system is holding progress without advancing leads.

4. Resume Communications When Ready 2:30

  • When you are ready to restart communications, return to the same workflow area.

  • Select Publish All to reactivate the workflows.

  • Confirm the AI Lead Manager is also turned back on if inbound responses should resume.

Result:

  • Workflows continue from where they left off.

  • The system resumes at the next step in each sequence.

5. Confirm the AI Is Fully Paused 3:13

  • Check that workflows are in Draft status.

  • Confirm the AI Lead Manager is Off.

  • Test or review recent activity to ensure no new responses are being generated.

Result:

  • Both inbound and outbound automation are paused.

  • The account is effectively inactive for AI communication until re-enabled.

Cautionary Notes

  • Do not assume drafting workflows alone stops all communication. You must also turn off the AI Lead Manager to stop inbound responses.

  • Drafting workflows does not delete leads or workflow history. It only pauses automation.

  • If you have custom sequences built outside the standard folders, review those separately so nothing remains active.

  • When reactivating, confirm both workflows and the AI Lead Manager are turned back on if full communication should resume.

Tips for Efficiency

  • Pause everything in one session before vacation or time away to avoid missed leads.

  • Use the workflow folder structure to quickly find all standard AI sequences.

  • Keep a checklist of all active sequences so none are overlooked.

  • When resuming, publish workflows first, then verify the AI Lead Manager status to ensure the system behaves as expected.
