OPPORTUNITY STATUS MANAGEMENT

WHAT IS OPPORTUNITY STATUS

An opportunity status shows the current result or condition of a deal — not the step, but the outcome.

There are only 4 statuses:

  • Open → still in progress

  • Won → successfully closed

  • Lost → deal did not push through

  • Abandoned → no longer being worked on

👉 These statuses are fixed and cannot be changed or renamed


STATUS vs STAGE

This is where most users get confused:

  • Stage = where the lead is (process step)

  • Status = what happened to the deal (result)

👉 Example:

  • Stage = “Booked Call”

  • Status = “Open”

👉 When closed:

  • Status becomes Won or Lost


STEP-BY-STEP: HOW TO UPDATE STATUS

OPTION 1: Edit Inside Opportunity

  1. Go to Opportunities

  2. Open the opportunity (click the card)

  3. Find Status field

  4. Select:

    • Open

    • Won

    • Lost

    • Abandoned

  5. Save

👉 This directly updates the deal status


OPTION 2: Drag & Drop

  1. Go to Opportunities board

  2. Find the opportunity card

  3. Drag it to the desired status

👉 Faster for bulk or quick updates


OPTION 3: Automation

  1. Go to Automation → Workflows

  2. Create a trigger:

    • Form submitted

    • Appointment booked

    • Payment received

  3. Add action: Update Opportunity Status

👉 This removes manual work and keeps data accurate


HOW STATUS IS USED IN REAL WORKFLOW

🧭 ACTIVE DEALS

  • Status = Open

  • Still being worked on

🏁 CLOSED DEALS

  • Status = Won → success

  • Status = Lost → not converted

🗑️ INACTIVE DEALS

  • Status = Abandoned

  • No follow-up planned

1. Can I change the status anytime?

Yes — you can update it anytime.

2. What is the default status?

Open (for all new opportunities)

3. Can I create custom statuses?

No — only the 4 system statuses are available.

4. When should I mark an opportunity as Won?

When the deal is successfully closed (paid/signed)

5. When should I use Abandoned vs Lost?

  • Lost = lead said no

  • Abandoned = no response / stopped follow-up
