Supporting transaction documents
Keep all files attached to the deal card for easy access.

If you cannot reach a lead, choose a follow-up action from the bottom of the screen.
Select one of the available sequences:
Engagement sequence
Short-term follow-up
Long-term follow-up
Use this step immediately after an unanswered call or message.
Let the system continue outreach instead of manually chasing the lead.
8. Apply the correct automated follow-up sequence 4:23
Use Engagement Sequence for aggressive outreach over the next 72 hours.
Use Short-Term Follow-Up for a one-week sequence with daily contact.
Use Long-Term Follow-Up for extended outreach over the next year.
Rely on the pre-built sequences instead of creating new copy.
Allow the AI prospector to continue contacting the lead automatically.
9. Let the system escalate unresponsive leads automatically 5:17
Understand the automatic sequence flow:
Engagement sequence for 72 hours
Short-term follow-up for 1 week
Long-term follow-up for up to 1 year
Allow email, text, and voicemail drops to continue until the lead responds or is dropped.
Use this process to improve ROI by extending follow-up beyond a few days.
Keep leads active in the system instead of losing them after one attempt.
10. Monitor AI qualification and hot-lead notifications 6:09
Know that the AI prospector uses staged outreach and qualification.
When a lead responds, the AI begins pre-qualifying them automatically.
If the lead is hot or warm, the system moves them to the correct follow-up status.
Respond quickly to notifications for hot leads.
Use the mobile app if you are away from your desk so speed-to-lead stays high.
11. Review AI conversation history and qualification notes 7:08
Open the AI conversation thread to review the lead’s responses.
Check the automatic notes generated by the AI.
Use the conversation history to understand what information has already been collected.
Confirm the AI is asking qualifying questions such as property condition and repair needs.
Use the AI notes to avoid repeating questions manually.
12. Confirm lead status and move qualified leads forward 8:31
Review the AI’s classification of the lead.
Once enough information is collected, move the lead to the appropriate status, such as Hot Follow-Up.
Ensure the team receives the notification.
Use the AI-generated notes to prepare for the next human call.
Continue the deal through the pipeline once qualification is complete.
13. Use the communications dashboard for all contact activity 9:11
Open the Communications area inside the contact record.
Review the full history of the lead’s activity.
Use built-in tools to:
Share pictures
Click to call
View phone numbers
Keep all communication inside the platform instead of using outside tools.
Use the transcript and recording features to document every call.
14. Rely on automatic call notes and centralized accountability 9:55
After each call or conversation, review the automatically generated notes.
Do not rely on manual note-taking during the conversation.
Use the centralized communication history to see:
Who contacted the lead
When they contacted the lead
What was discussed
Keep all communication records in one place for accountability and follow-up.
15. Calculate rehab and offer numbers inside the acquisition tab 10:35
Open the Acquisition tab for the deal.
Use the built-in rehab calculator to estimate repair costs.

Open the purchase contract engine.
Fill in the required fields, such as:

EMD amount
Buy price
Select the correct agreement type from the dropdown.

17. Edit, send, and e-sign contracts inside the platform 12:08
Review the generated contract for accuracy.
Edit the contract if your state requires additional clauses or disclosures.
Use the built-in e-signature feature to send the agreement.
Send as many contracts or supporting documents as needed.
Track the signed document as it returns to the pipeline.
18. Distribute deals to buyers through email or SMS blasts 13:15
Once a deal is ready to market, send it to your buyer list.
Go to Contacts and select the buyer segment.
Filter buyers by criteria such as:
State
County
Send the deal through:
Email blast
SMS blast
Use this process to reach a large buyer list quickly and consistently.
Cautionary Notes
Do not leave the dashboard uncleared at the end of the day; unresolved items can be missed.
Make sure leads and prospects are tracked correctly, since they are different categories.
Do not stop follow-up after a few attempts; the system is designed for long-term outreach.
Review AI-generated notes and classifications before taking action on a lead.
Verify contract details carefully before sending, especially state-specific clauses and disclosures.
Ensure all communication and document handling complies with company policy and applicable laws.
Tips for Efficiency
Work directly from the pipeline to avoid switching between tools.
Use the pre-built follow-up sequences instead of writing new outreach manually.
Let AI handle note-taking and qualification so you can focus on live conversations.
Use mobile notifications to respond quickly to hot leads.
Keep all documents, notes, and communications attached to the same deal card.
Use the built-in calculator and underwriter to speed up offer creation.
Segment buyer lists before sending blasts to improve targeting and response rates.
