PULSE REI CRM PIPELINE SETUP

🔹 What is a Pipeline?

A pipeline is your full sales process — from first contact to closing a deal.

Think of it like:
👉 A visual board where each lead moves step-by-step


🔹 What is a Stage?

A stage is a step in your process

Example:

  • New Lead

  • Contacted

  • Booked Call

👉 Each stage represents a clear action or milestone


🔹 What is an Opportunity?

An opportunity is:
👉 A lead that has potential to become a deal

It includes:

  • Contact info

  • Deal value

  • Notes

  • Assigned owner

👉 Basically: this is the actual deal you are tracking

PART 2: Create a Pipeline (Step-by-Step)

1. Go to Pipelines

  • Open your Sub-account

  • Click Opportunities

  • Click Pipelines


2. Create New Pipeline

  • Click “Create New Pipeline”

  • Enter a Pipeline Name

  • Click Save

👉 Example:

  • Sales Pipeline

  • Client Onboarding


3. Add Stages (CRITICAL STEP)

  • Type your Stage Name

  • Click Add Stage

  • Repeat for all steps

👉 Example stages:

  • New Lead

  • Qualification

  • Booked Call

  • Proposal

  • Closed

💡 Important:

  • Stages should be clear and action-based

  • So users know exactly when to move a lead forward


4. Arrange & Manage Stages

  • Drag to reorder (top = first step)

  • Rename or delete if needed

💡 If you delete a stage:

  • You can move all leads to another stage (no data lost)


5. Save & Finalize

  • Make sure flow is correct

  • Your pipeline is ready


PART 3: Add Opportunities (Leads)

OPTION 1: Manual

  • Go to Opportunities

  • Click + Add Opportunity

  • Select contact

  • Choose:

    • Pipeline

    • Stage

    • Value

  • Click Create


OPTION 2: Import

  • Upload contact list

  • Map fields

  • Import

👉 Turns bulk contacts into opportunities instantly


OPTION 3: From Prospecting Tool

  • Add leads directly

  • Assign pipeline + stage


OPTION 4: Automation (BEST PRACTICE)

  • Go to Automation → Workflows

  • Trigger: form submitted / lead created

  • Action: Create Opportunity

👉 This automatically adds leads into your pipeline


HOW THE SYSTEM ACTUALLY WORKS (IMPORTANT PROCESS FLOW)

🧭 STEP 1: Lead Comes In

  • Form, call, message, or import

➡️ STEP 2: Becomes an Opportunity

  • Now it’s a trackable deal

➡️ STEP 3: Moves Through Stages

Example:
New Lead → Contacted → Booked → Closed

👉 Movement = progress in real life


🏁 STEP 4: Final Outcome

  • Won (closed deal)

  • Lost (did not convert)
